Why the device fleet is the fastest place for Caribbean businesses to make sustainability pay
Two budget lines that never meet
In most Caribbean organisations, sustainability and IT sit in different meetings. The sustainability conversation happens with the board, the bank or the donor. The laptop conversation happens with procurement, usually when something breaks.
That separation is expensive. The device fleet is one of the few places where a single decision lowers cost and lowers carbon at the same time. Every laptop and desktop carries an emissions footprint from manufacture, shipping, years of electricity use and, eventually, disposal. Every one of those stages also carries a cost.
Treat the fleet as a sustainability asset, and the business case writes itself. Treat it as a pile of hardware, and both the carbon and the cost stay invisible.
The evidence: sustainability now pays its way
Global research is consistent on one point: organisations are no longer investing in sustainability as a cost of doing business. They are investing because it saves money.

- Capgemini Research Institute (2025) reports that 95% of organisations have realised around a quarter of their cost-savings potential through sustainability initiatives, and that 62% invest in sustainability because of the associated cost savings.
- IDC (2025) found that 71% of IT decision-makers see sustainability as an important or strong factor when choosing a device-as-a-service model.
- An earlier IDC study found that 57% of organisations that adopted device as a service reported a lower cost per seat.
The message for Caribbean leaders is clear. A greener fleet is not a premium product. Done well, it is a cheaper one.
Why this matters more in the Caribbean

Four regional realities raise the stakes.
The questions are already arriving. Banks, insurers, development partners and multinational customers increasingly ask Caribbean suppliers about environmental performance. A firm that cannot report its footprint risks losing finance, contracts or donor support.
Tourism runs on reputation. Hotels and attractions compete for guests and tour operators who look for credible green credentials. Back-of-house IT is part of that story.
E-waste has nowhere easy to go. Small island economies have limited recycling capacity. Old devices pile up in storerooms, or leave by informal routes that put data and the environment at risk.
Energy is costly. Electricity across much of the Caribbean costs well above the global average, so the energy efficiency of every device on every desk shows up on the monthly bill.
Five building blocks of a sustainable device fleet

The most effective approach combines five elements, each of which can be adopted on its own or as part of a single subscription service.
- Subscribe instead of buy. A device-as-a-service model replaces a large capital purchase with a predictable monthly cost. Devices are refreshed on a planned cycle, so the fleet never drifts into the costly, inefficient final years of its life.
- Mix new with certified refurbished. Manufacturer-certified refurbished devices are tested to enterprise standards, run current operating systems and carry warranty support. For many roles they deliver the same experience at a lower cost and a lower carbon footprint than new.
- Measure at device level. A single dashboard that tracks each device’s carbon footprint, packaging, transport and energy ratings turns sustainability from a claim into a number your board, auditors and lenders can rely on.
- Offset what you cannot yet eliminate. Estimated lifecycle emissions for each device, from manufacture to end of life, can be offset through verified climate projects. Offsetting should come after reduction, not instead of it.
- Close the loop. At end of term, devices are collected, data is wiped to recognised standards with a compliance certificate, and the hardware is reused, resold or responsibly recycled. Remaining value comes back to the business instead of gathering dust.
Small details add up as well: energy-certified business devices, plastic-free packaging and bulk shipping all reduce the footprint before a device is even switched on.

Build the stack around your goal
Not every organisation starts in the same place. The strongest providers now offer modular bundles, so you pay only for the outcome you need and can add more later.
| Your priority | What the bundle combines | Best suited to |
| Offset emissions with minimal investment | Device subscription plus lifecycle carbon offsets | Firms making a first, visible commitment |
| Cut costs and carbon together | Device subscription plus certified refurbished devices | Budget-constrained schools, NGOs and SMEs |
| Report your IT carbon impact | Device subscription, carbon dashboard and offsets | Firms facing lender, donor or group ESG reporting |
| Simplify end-of-life management | Device subscription plus asset recovery and certified data sanitisation | Regulated firms and organisations with ageing fleets |
Support, configuration and deployment services can be added to any bundle, so IT teams gain capacity rather than workload.
Avoiding the greenwashing trap

Sustainability claims attract scrutiny, and they should. Four disciplines keep a device programme credible:
- Measure before you claim. Report device-level data, not estimates dressed up as facts.
- Reduce before you offset. Refurbished devices, longer useful lives and recovery come first; offsets cover the remainder.
- Verify the offsets. Use recognised, verified climate projects and keep the certificates.
- Protect the data. Every returned device must be wiped to a recognised standard, with documentation. A sustainability programme that leaks client data is a liability, not an asset.
Where to start: the first 90 days
- Count the fleet. Record every laptop and desktop: age, owner, condition and where retired devices currently go.
- Price the status quo. Add up purchase, repair, support, energy and disposal costs per seat.
- Set one priority. Choose the outcome that matters most this year: cost, reporting, end-of-life or a visible commitment.
- Pilot a mixed fleet. Replace your oldest devices with a blend of new and certified refurbished units on a subscription basis.
- Report the result. Share the cost and carbon numbers with your board and stakeholders, then scale what works.
The vision is yours
Caribbean organisations do not have to choose between a modern workforce, a healthy budget and a credible sustainability story. The device fleet is where all three can be delivered by the same decision.
The businesses that move first will not only spend less on technology. They will have the evidence ready when the bank, the donor or the customer asks the question.
