Why the device fleet is the fastest place for Caribbean businesses to make sustainability pay

 

Two budget lines that never meet

In most Caribbean organisations, sustainability and IT sit in different meetings. The sustainability conversation happens with the board, the bank or the donor. The laptop conversation happens with procurement, usually when something breaks.

That separation is expensive. The device fleet is one of the few places where a single decision lowers cost and lowers carbon at the same time. Every laptop and desktop carries an emissions footprint from manufacture, shipping, years of electricity use and, eventually, disposal. Every one of those stages also carries a cost.

  • Capgemini Research Institute (2025) reports that 95% of organisations have realised around a quarter of their cost-savings potential through sustainability initiatives, and that 62% invest in sustainability because of the associated cost savings.
  • IDC (2025) found that 71% of IT decision-makers see sustainability as an important or strong factor when choosing a device-as-a-service model.
  • An earlier IDC study found that 57% of organisations that adopted device as a service reported a lower cost per seat.

The message for Caribbean leaders is clear. A greener fleet is not a premium product. Done well, it is a cheaper one.

Why this matters more in the Caribbean

Four regional realities raise the stakes.

The questions are already arriving. Banks, insurers, development partners and multinational customers increasingly ask Caribbean suppliers about environmental performance. A firm that cannot report its footprint risks losing finance, contracts or donor support.

Tourism runs on reputation. Hotels and attractions compete for guests and tour operators who look for credible green credentials. Back-of-house IT is part of that story.

  1. Subscribe instead of buy. A device-as-a-service model replaces a large capital purchase with a predictable monthly cost. Devices are refreshed on a planned cycle, so the fleet never drifts into the costly, inefficient final years of its life.
  2. Mix new with certified refurbished. Manufacturer-certified refurbished devices are tested to enterprise standards, run current operating systems and carry warranty support. For many roles they deliver the same experience at a lower cost and a lower carbon footprint than new.
  3. Measure at device level. A single dashboard that tracks each device’s carbon footprint, packaging, transport and energy ratings turns sustainability from a claim into a number your board, auditors and lenders can rely on.
  4. Offset what you cannot yet eliminate. Estimated lifecycle emissions for each device, from manufacture to end of life, can be offset through verified climate projects. Offsetting should come after reduction, not instead of it.
  5. Close the loop. At end of term, devices are collected, data is wiped to recognised standards with a compliance certificate, and the hardware is reused, resold or responsibly recycled. Remaining value comes back to the business instead of gathering dust.

Small details add up as well: energy-certified business devices, plastic-free packaging and bulk shipping all reduce the footprint before a device is even switched on.

  1. Count the fleet. Record every laptop and desktop: age, owner, condition and where retired devices currently go.
  2. Price the status quo. Add up purchase, repair, support, energy and disposal costs per seat.
  3. Set one priority. Choose the outcome that matters most this year: cost, reporting, end-of-life or a visible commitment.
  4. Pilot a mixed fleet. Replace your oldest devices with a blend of new and certified refurbished units on a subscription basis.
  5. Report the result. Share the cost and carbon numbers with your board and stakeholders, then scale what works.
