Practice: Send separate notices referencing the relevant policy (or program), claim number (as assigned), covered location(s), event date/time, and a broad description of loss. Keep proof of transmission and receipt.

4) Notice Anatomy (What to Say, What Not to Promise)

Include:

  • Policy/program number(s) and insured name(s)

  • Event name/date/time and affected locations

  • High-level description (wind damage, inundation, utility outage, civil authority order, etc.)

  • Statement that scope is evolving, and you will supplement

  • Primary contact (Claim Lead) and preferred communication channel

Avoid:

  • Speculating on causes you haven’t confirmed

  • Limiting the claim prematurely (“roof only”)

  • Irrevocable cost figures early on

5) Proof-of-Loss: From Narrative to Numbers That Pay

A sworn proof of loss is the formal, signed statement of the amount claimed, supported by exhibits. Different policies set different deadlines, content, and forms. Build a standard dossier and tailor per policy.

Core Components

  1. Executive Summary (2 pages) — who/what/when/where, coverage triggers, headline amounts by category.

  2. Damage & Mitigation — photo index, inspection reports, contractor scopes/estimates, invoices, and Storm GL extracts for mitigation and EE.

  3. BI/EE Workpapers — baseline vs. actual revenue/gross profit, waiting period treatment, partial-suspension narrative, EPI if applicable; tie to financials.

  4. Schedules & SOV Tie-outs — locations, assets, serials, valuations; before/after deltas; depreciation/valuation methodology if required.

  5. Proof Form — program-specific template signed by authorized representative, notarized where required.

  6. Declarations — if required, statements on salvage, subrogation cooperation, and absence of fraud.

Evidentiary Hygiene

  • Reconcile everything. GL ↔ bank proofs of payment; SOV ↔ asset lists; BI model ↔ audited financials/tax filings where feasible.

  • Index exhibits. Number and hyperlink exhibits to references in the narrative.

  • Lock versions. Keep a read-only “submission” set with checksum or e-signature artifacts.

6) Timelines & Hard Stops (Including 60-Day Proofs)

On Day 1, build a master calendar with reminders for:

  • Initial notices (same-day to 72h)

  • Sworn proof deadlines per policy/program (ask carriers to confirm in writing)

  • Hard 60-day proofs where applicable (e.g., certain flood programs)

  • All notices (to whom, when, how served, acknowledgment)

  • Adjuster appointments and site visits (date/time, attendees, areas inspected, requests, commitments)

  • Submissions (what, when, by whom; include file hashes or DocuSign IDs)

  • Carrier responses (coverage determinations, partial payments, RFI lists)

  • Undisputed amounts (agreed figures and payment dates)

  • Deadlines (proofs, limitation periods, escalation triggers)
